Running your practice · Psycounts Team
Welcome to the Psycounts blog — a space for product news and practical guidance on running a private practice. Let's start with the question at the heart of Psycounts. Ask a counsellor in private practice how they run the business side and you'll usually hear a list: a diary for appointments, a spreadsheet for income, an invoice template in Word, a folder of receipts, maybe an accounting app that never quite fitted. Each piece works. The cost is the space between them.
Every gap between tools is a job for you: copy the session from the diary into the spreadsheet, copy the client's details into the invoice, copy the totals into the tax return. None of these jobs is hard — that's the trap. They're easy enough to do late in the evening, and easy enough to skip “just this once”. Skipped copies become missing income records, unbilled sessions and receipts that never made it out of the coat pocket.
In Psycounts the pieces are connected because they're the same records. An appointment carries its service and price, so completing it can produce the invoice. A paid invoice is an income record. An expense logged at the till is already in your year-end figures. There is nothing to copy, so there is nothing to skip — the books keep themselves as a side effect of running your practice.
The point of all-in-one isn't a tidier toolbox — it's the admin evening that stops existing. When booking a session takes ten seconds, billing it takes one tap and the receipt is logged before you've left the shop, there's no backlog left to clear on a Sunday night. That time goes back to your clients, your CPD — or to not thinking about the practice at all.
