From booked to billed: create the appointment and the invoice in one step

Product tour · Psycounts Team

Every therapy session generates admin twice: once when you book it, and again when you bill it. Most tools treat those as separate jobs in separate apps — a calendar here, an invoice template there — which is exactly how sessions end up unbilled. In Psycounts, the appointment is the starting point of the invoice.

Book the session in seconds

A new appointment takes a client, a service and a time. The service — for example a standard or reduced-rate counselling session — carries its price with it, so the money side is decided the moment the booking is made. Weekly clients can be booked with recurrence, and every appointment can be exported straight to your phone's calendar.

One tap: confirmed and pre-billed

When you confirm an appointment, Psycounts offers to create the draft invoice at the same time, priced from the service you chose. No re-typing the client's details, no remembering the rate, no separate invoicing session at the end of the week.

The invoice is ready before the session happens

The draft invoice is created instantly and linked to the appointment — reschedule the session and the invoice can move with it. When the session's done, the invoice is already sitting there: send it by email, or mark it as sent if you've shared it another way.

Why this matters

Unbilled sessions are the quietest way a practice loses money — not because anyone decided not to invoice, but because invoicing was a separate job for later. When booking and billing are the same motion, “later” never gets a chance. And because every invoice flows into your income records, your dashboard, Self Assessment figures and Making Tax Digital records build themselves along the way.
